Are you an exceptional and proactive executive assistant ready to make a significant impact?  Do you have a talent for juggling tasks all while wearing a smile?  If so, Member Engagement & Growth is seeking a highly capable individual to join their team.


Supporting the Chief Engagement & Growth officer you will ensure the seamless operation of their office and teams. This role is not just about managing schedules and correspondence, you anticipate needs, solve problems on the go, and bring energy and warmth to every interaction.


About your day:

  • Daily Coordination: Assist the executive in planning and organising their day-to-day activities, including appointments, travel arrangements, meetings, conferences, and functions.
  • Correspondence Management: Monitor, prioritise, and file incoming correspondence, draft outgoing communications on their behalf and refer tasks to relevant functions while maintaining confidentiality.
  • Financial Administration: Prepare credit card reconciliations and expenses claims.
  • Coordinate leadership forums: prepare agendas, capture and distribute actions, and keep things moving.
  • Support board and executive reporting, team communications, and key stakeholder updates.
  • Lead logistics: for team events, town halls, and planning days that build genuine culture.
  • Team Support: Provide administrative assistance to the Leadership Team as needed.

About You:

  • Experience: Significant experience as a Personal Assistant or Executive Assistant in a busy and fast-paced environment.
  • Documentation Skills: Extensive experience in preparing reports, presentations, and other documentation for executive-level delivery.
  • Judgment & Discretion: The ability to make decisions on behalf of the executives, manage relationships with demanding stakeholders, and handle sensitive information with the utmost discretion.
  • Proactive & Insightful: You are a natural problem-solver who looks for ways to improve how the team works, not just maintain the status quo.  You’re comfortable using and experimenting with AI tools to enhance productivity.
  • Attention to Detail: High level of organisation and attention to detail, ensuring nothing falls through the cracks.
  • Adaptability: Flexibility to adapt to HESTA’s dynamic and evolving environment.
