Are you an experienced Business Support Specialist or Executive Team Assistant ready to step into a fast-paced, high-impact role where your work truly matters? This is a great opportunity to partner closely with senior leaders and contribute at an enterprise level. The role is ideal for someone who thrives at the intersection of executive support, stakeholder engagement, and team coordination – who enjoys bringing order to complexity, anticipating needs, and being a trusted right-hand to senior leaders.
As Business Support Specialist, you’ll provide executive and team support to the Head of Member Service Performance (MSP) and General Manager - GROW Partnership. You’ll be a key enabler across the MSP and GROW Partnership teams, ensuring leaders are supported, teams are connected, and operations run seamlessly.
What You’ll Do
- Provide trusted, proactive executive support to the Head of MSP and GM GROW Partnership.
- Manage complex diaries, meetings, travel and priorities with confidence and foresight.
- Coordinate senior leaders expenses, invoices, and reconciliations.
- Support preparation and coordination of reporting for Executives, Board and Committee.
- Provide end-to-end administrative support to the MSP and GROW Partnership teams.
- Organise team meetings, offsites, events and celebrations.
- Manage governance forums and partnership meetings.
- Maintain SharePoint (HESTAHub) and team documentation.
- Support onboarding and offboarding of team members.
- Act as a key liaison with external stakeholders and partners.
- Provide relief support to the EA to the CXO when required.
- Support technology adoption and team projects as needed.
What You’ll Bring
You’re calm under pressure, highly organised, and trusted by senior leaders.
You’ll bring:
- Experience in similar business support or executive team assistant role.
- Confidence supporting senior leaders, ideally within superannuation, financial services or a regulated environment.
- Strong diary, inbox and travel management experience.
- Experience coordinating events, forums and senior level meetings.
- Exposure to Executive, Board or Committee reporting and support.
- Excellent communication skills, professional presence and discretion.
- Strong problem-solving skills and comfort navigating ambiguity.
- Exceptional organisation and time management capabilities.
- Advanced Outlook skills and proficiency across PowerPoint, Excel and Word.
- Financial administration experience (expenses, invoices, budgets).
- Tertiary qualifications in business, law or a related discipline (highly regarded, not essential).
